How to add an item to an agreement

Agreement items hold the detailed information required to both service and invoice an agreement.

There are five different types of item that you can add to an agreement. It’s important to understand how each type affects the manifesting and invoicing of an agreement:

DescriptionExampleNotes
DeliveryMats, Towels & Air FreshenersAppears on the Manifest
Service OnlyWaste Management FeeDoes not appear on the manifest
StaticTowel cabinet, Vending MachinesDoes not appear on the manifest
One-OffInstallation ChargeDoes not appear on the manifest and only gets invoiced once
On-Request OnlyToilet rollOnly manifests and invoices if user requests it

Adding an Item

  1. Choose Add Item, and select an option from the menu for the type of item you want to add
  2. Click on the … button to select the stock item you want to add for this agreement item
  3. Select the service frequency from the drop down list (If applicable). This is for reference on the printed agreement and to help the operations team do their scheduling.
  4. Select the agreement length for this particular item. Again this is just for reference on the printed agreement
  5. Enter the Quantity and Each Cost. This is the cost per annum.
  6. Click Save

Adding an On-Request Item is slightly different, see How to add an On Request Only item to an agreement? for a detailed walkthrough.

Amending an Item

  1. Select the item you want to amend and then choose Amend Item from the toolbar.
  2. In the popup, you can change the details as you need to.
  3. Once your changes have been made, select Save.

You cannot reduce the quantity of an item on a live agreement by amending it. You must use the cancellation wizard to schedule the cancellation. See How to: Cancel an Item for a detailed walkthrough.
