In Service Manager, a user is any person in your company who has access to the system. Each user has a user record and must be assigned one or more roles. These roles determine what areas of the system the user can access and what actions they are allowed to perform.
Role-Based Access
Service Manager uses role-based administration to control access. This means permissions are assigned through roles rather than directly to individuals. Each role grants specific capabilities within the system.
- A user with the Accounts role can amend cancellation dates.
- A user with the Operations Manager role can manage drivers, vehicles, and delivery routes.
- Only an Administrator can access all settings and features.
You can find a full breakdown of roles and their associated actions on the Roles and Permissions page.
What Users Can Do
- Sign in securely to Service Manager
- Access features and data based on their assigned role(s)
- Interact with tasks, agreements, and other records relevant to their role
Depending on the role, users may also:
- View or edit customer records
- Create, update, or cancel agreements
- Manage internal resources such as vehicles, invoices, or staff
Managing Users
- Add new users
- Reset passwords
- Assign or remove roles
- Transfer coordinators between users
Access to features is never assigned directly to a user, but always through roles. This ensures consistency and simplifies permission management across the system.
